The first review of applications will begin on Thursday, October 8th, 2026. Applications received after the first review period will be continuously reviewed until the position is filled.

The Housing Rehabilitation Program Assistant will work within the Planning department with Johnson County. This is a key role that will provide specialized administrative and program support for the administration of HOME, MHR, and related housing programs that Johnson County provides. This person will serve as a primary point of contact for applicants, homeowners, title companies, program partners, and the general public while ensuring documentation is complete, accurate, confidential, and in compliance with applicable program funding and county requirements.

Essential Duties:

• Administers and maintains HOME and MHR program waiting lists, including updating applicant information, documenting status changes, and tracking applications through established processes
• Responds to telephone, email, written, and in-person inquiries; provides directions and application materials; assists applicants with required steps; and conducts follow-up communication as necessary.
• Uses spreadsheets or databases to organize information and produce standard reports; prepares a variety of complex disbursement forms (e.g., check requests, travel forms, cash sheets, and journal entries) for routing and approval; compiles and maintains reports and financial statements. (Conducts property and title research for HOME and MHR projects using applicable databases and systems, including AIMS and RTA. Prepares and coordinates contracts and related documents for HOME projects, including documents requiring execution by clients and contractors.)
• Monitors designated program email accounts and ensures inquiries, applications, project communications, and requests are appropriately reviewed, documented, responded to, and routed.
• Reviews application and project documentation for completeness, accuracy, and compliance; identifies missing or conflicting information and coordinates resolution with applicants and appropriate staff.
• Performs routine document management activities, including updating PDF forms and documents, scanning, filing, archiving, and maintaining organized program records.
• Schedules and cancels appointments; maintains calendars; schedules rooms for classes, meetings, and conferences; coordinates audio visual and training equipment; performs/coordinates several administrative functions, including tasks to support department/agency leadership and governing boards (e.g., records management, reception); types complex documents of a technical nature; proofreads for spelling and grammar; uses multiple software applications to prepare information.

Minimum Job Qualifications:

• High school diploma or equivalent
• Two years of administrative support

Preferred Job Qualifications:

• Associate’s degree in the following field(s) of study: Business Administration or related field
• Experience may be substituted for degree. Education may be substituted for experience

Required Special Knowledge, Skills, and Abilities:

• Attention to detail
• Basic mathematical and accounting skills
• Preparing accurate correspondence, forms, contracts, reports, and other official documents.
• Human Relations/Interpersonal Skills
• Written communication skills, including business writing, report writing, summarizing and editing skills
• Maintaining confidentiality and exercising discretion when handling sensitive information.
• Tracking multiple projects, applications, deadlines, and required actions simultaneously.
• Communicating clearly and professionally with applicants, title companies, government agencies, and the general public.

Preferred Special Knowledge, Skills, and Abilities:

• Microsoft Office and other computer applications used to maintain and process program records
• Oral communication skills, including presentations to individuals and small groups.
• Project management skills, including organization, coordination of duties, and/or accomplishment of goals.
• Researching property, title, mortgage, and program information using multiple databases and information systems.

All County employees may be called upon to assist other departments in a declared emergency situation.
